How to add your CAR Dues\Realtor Assessment charge code to your CASTFIN setup

First, go to Managers\Data Exchange\Send Transmittals. Click the “Setup” tab, then the “Transmittal Criteria” button. You should now see a screen similar to the example below.

Click on the CASTFIN group ID, then click the “View Rules” button. Next, click the “Charge” tab. Get into “Modify” mode and zoom to select your CAR Dues\Realtor Assessment charge code.  Add the code here with a remote translation of STAT. Next, press the ESC key to get back to the previous form.

Get into “Modify” mode and click the “Charge” tab as indicated below. Create a new line (F4) and add the CAR Dues\Realtor Assessment code to this list.

This information will now be sent to CAR in your CASTFIN transmittal.

How to Check Data Exchange (NRDS) Transmittal Logs

Issue: How can I find the member/office records that were sent successfully in my NRDS transmittals and also check for errors?

Did you know that you can check member/office records that were sent in previous NRDS transmittals? This allows you to make sure your membership information is being transmitted as expected, and allows you to review and correct errors.

From the Data Exchange module, choose Send Transmittals.

        

Click the Check Results button...

...and then click the Membership Detail Form button to access the Membership Transmittal Detail Form.

  1. In the "Receiver" field, press F5 to zoom and select the appropriate receiver.
  2. In the "Transmittal Batch" field, press F5 to zoom and select the transmittal batch you want to check.

The bottom portion of the form displays records that were sent in the selected transmittal. To make it easier to find and correct errors, this form initially displays only records that were NOT sent. However, you can click the Show All button to see all of the records in this transmittal, including the ones sent successfully. (Note: The button toggles between Show All and Show Errors for your convenience.)

Notice that the record we have selected above has a Status of "E" for Error. This means that there is a problem with the record that must be corrected before it can be successfully sent in a transmittal. The Transaction Note near the bottom of the form shows you why the error occurred so that you can easily correct the problem.

You can use the Member Info or Office Info buttons to go directly to the selected record, research the issue, and make corrections. Once the problem is corrected press Esc until you return to the Membership Transmittal Detail Form. Then, place your cursor on the "Status" field for the selected record and press F5 to zoom and select the "Fixed" status. This will allow the record to be included in the next NRDS transmittal.

Local Board Designation Transmittals to NRDS

Issue: How can we transmit our designations to NRDS?

Have you ever wondered how to send your member designations to NRDS but were unsure of the procedure to follow? Our software allows you to create and send a file with members of a particular designation to NRDS or another receiver. The program will generate a transmittal file that contains designation records for all the qualifying members based on the criteria you specify. The only part of the member record that will be updated at NRDS will be the designation. To view which members qualify for the designation transmittal, you can run the Member Report-Designations. You may run the Member Report – Designations to view the active members who will qualify for the transmittal.

The designation transmittal program allows you to do the following:

  • Select members from your database that qualify for the transmittal (based on the criteria set up for the receiver and designation information you select);
  • Create a data file to be transmitted, and saves it in the archive directory specified for the receiver.
  • Transmit the data file to the FTP site (if the receiver is set up to use FTP in the Receiver Information Form)

To Generate a Designation Transmittal:

Once you open the form, specify your criteria and click Generate Transmittal. After the transmittal process is complete, the program will prompt you to send the transmittal. Please place a "check" mark in the Send Transmittal box and click on Continue. This will complete the entire procedure and update all your designations at NRDS.

NRDS Education and Financial Reporting via CDB

Issue: How can I send education and financial information to NAR using the new CDB interface?

On June 30, 2012, NAR turned off their Batch Upload servers for membership, education and financial uploads. For those that have licensed and installed the Rapattoni Magic CDB Module AND have been upgraded to version 10.1.2, you can communicate that information to NAR via the CDB functionality. Running the process is exactly the same as before, you'll just need to tell Magic which method of communication you want to use.

To do this, you will need to go to the Receiver Information form. Navigate to the following location:

Managers > Data Exchange > Send Transmittals > Setup tab > Receiver Information Form

Locate the receiver used for the NAR transmittals (it should start with NRDS and contain your association's NRDS ID). Please see the example below:

Make sure to check the boxes labeled CDB and Education if you currently send both to NAR. If you do not send education, leave that box unchecked. If the box for FTP is CHECKED, please make sure to UNCHECK it. NRDS to Magic Verification and Comparison Report

Issue: How can I compare my membership database with the data at NRDS?

As many of you know, NAR will run membership counts, by local association, directly from the NRDS system on April 1. These counts will be used to assess the amount each association owes NAR.
With this in mind, now would be a great time to run the NRDS Verification Utility to compare your membership data to the data at NRDS. After running the report, be sure to update any members or offices on NRDS that show as inactive in your database but active at NRDS. This will help you avoid getting charged for members or offices that actually never paid dues.

Step 1: Request a Batch Refresh from NRDS. NRDS will email the file to the key office contact that NRDS has on file.

  1. Go to the NRDS site (www.realtor.org) and log on
  2. Log on using your association NRDS Login and Password
  3. Click the "NRDS" link and then "POE connect to NRDS”
  4. Click "Batch Refresh" – do NOT use Batch Download
    • Select the following criteria:
    • Select File Type: Fixed Length
  5. Select Refresh Format: E-Mail the File
  6. Click "Refresh Now”

Note: NRDS will email the refresh data as an attachment to your Local AOR staff email address that is on file with them.

Step 2: Save the file. When you receive the file from NRDS, save it to the directory shown in the Directory Path field of the NRDS Verification Utility (this is usually the R:\RAP\NAR\NRDSIN\ARCHIVE folder, but your association’s setup may be different).

Step 3: Go to the NRDS Verification Utility in Data Exchange.



  1. Click the Utilities tab, and then select the NRDS Verification button. The NRDS Verification Utility opens.

 

 

  1. Enter the following data:
    Sender: NRDSIN
    Association: Select your association
  2. Select the Bill Types you wish to compare:
    • NRDS vs. Assn: Zoom to select statuses you wish to compare *Note: Active will only show if you have members that are active at NRDS and not active with your local database
    • Assn vs. NRDS: Same as above
  3. Compare: Check the options for Office, Member and Check Member License
  4. Directory Path: This is usually set to R:\RAP\NAR\NRDSIN\ARCHIVE; if a different path displays, be sure to save the file that you received from NRDS to that folder
  5. File Name: Use the file name provided by NRDS, such as 4850FULL.ZIP

This report shows you inconsistencies between your data and the data at NRDS.
This report compares the data in four ways, as follows:

NRDS vs. Association (Members)

The data on the left side is from the NRDS file and it’s compared to what you have in your database. This is showing you what NRDS has on file, and in what ways it does not match what you have in your database.

NRDS vs. Association (Offices)

The data on the left side is from the NRDS file and it’s compared to what you have in your database. This is showing you what NRDS has on file, and in what ways it does not match what you have in your database.

Association vs. NRDS (Members)

The data on the left side is from your database and it’s compared to what is on file at NRDS. In some instances, this report may be larger due to the fact that you may have numerous member types that you do not report to NRDS. This is normal.

Association vs. NRDS (Offices)

The data on the left side is from your database and it’s compared to what is on file at NRDS. In some instances, this report may be larger due to the fact that you may have numerous office types that you do not report to NRDS. This is normal.
