With the inception of the Central Database (CDB), we have identified some common setup issues that can prevent Magic from communicating with NRDS as intended. This article covers several important settings which can potentially cause issues with certain groups of members/offices not communicating with NRDS via the CDB.
In order for a member/office to communicate with CDB, there are three steps that must be performed.
1. Member Billing Type/Office Type must have the field CDB set to Y
2. Member Billing Type/Office Type must exist in the Data Exchange transmittal group rules –Managers>Data Exchange>Send Transmittals. Choose the “Setup” tab, then choose the “Transmittal Criteria” button. Click on the NRDSMSTR group ID, then the “View Rules” button. Verify that the Billing Type, Member Type, and Office Type are listed in this section with the appropriate translations.
3. The final step is to run the Set CDB Update Utility – Managers>Data Exchange>CDB>Utilities>Set CDB Update Utility. In the “Modify/View Selection” section, click the buttons for Bill Types, Office Types, and Statuses, and modify the corresponding options to select only the Bill Types, Office Types and Statuses you wish to communicate. This will flag all of the selected records to communicate via CDB the next time the scheduler runs. **NOTE** if you do not modify this section, you will communicate ALL records to NRDS.

How to add your CAR Dues\Realtor Assessment charge code to your CASTFIN setup |

First, go to Managers\Data Exchange\Send Transmittals. Click the “Setup” tab, then the “Transmittal Criteria” button. You should now see a screen similar to the example below.
Click on the CASTFIN group ID, then click the “View Rules” button. Next, click the “Charge” tab. Get into “Modify” mode and zoom to select your CAR Dues\Realtor Assessment charge code. Add the code here with a remote translation of STAT. Next, press the ESC key to get back to the previous form.
Get into “Modify” mode and click the “Charge” tab as indicated below. Create a new line (F4) and add the CAR Dues\Realtor Assessment code to this list.
This information will now be sent to CAR in your CASTFIN transmittal.
Did you know that you can check member/office records that were sent in previous NRDS transmittals? This allows you to make sure your membership information is being transmitted as expected and allows you to review and correct errors.
Communication > Data Exchange > Send Transmittals > Click the Check Results button.
Click the Membership Detail Form button to access the Membership Transmittal Detail Form.
Receiver – Press F5 to zoom and select NRDS receiver.
Transmittal Batch – Press F5 to zoom and select the transmittal batch you want to check
Records Not Sent in Transmittal - Initially this section only displays records that were NOT sent in order to make it easier to find and correct errors. However, you can click the Show All button to see all of the records in this transmittal, including the ones sent successfully. (Note: The button toggles between Show All and Show Errors for your convenience.)
Notice that the record we have selected above has a Status of "E" for Error. This means that there is a problem with the record that must be corrected before it can be successfully sent in a transmittal.
The Transaction Message near the bottom of the form shows the error so that you can easily correct the problem.
Member Info and Office Info buttons allow you to go directly to the selected record, research the issue, and make corrections. Once the problem is corrected, press Esc until you return to the Membership Transmittal Detail Form.
Place your cursor on the "Status" field for the selected record and press F5 to zoom and select the "Fixed" status. This will allow the record to be included in the next NRDS transmittal.

Issue: | How can we transmit our designations to NRDS? |
Have you ever wondered how to send your member designations to NRDS but were unsure of the procedure to follow? Our software allows you to create and send a file with members of a particular designation to NRDS or another receiver. The program will generate a transmittal file that contains designation records for all the qualifying members based on the criteria you specify. The only part of the member record that will be updated at NRDS will be the designation. To view which members qualify for the designation transmittal, you can run the Member Report-Designations. You may run the Member Report – Designations to view the active members who will qualify for the transmittal.
The designation transmittal program allows you to do the following:
To Generate a Designation Transmittal:
Once you open the form, specify your criteria and click Generate Transmittal. After the transmittal process is complete, the program will prompt you to send the transmittal. Please place a "check" mark in the Send Transmittal box and click on Continue. This will complete the entire procedure and update all your designations at NRDS.

Resolve Record Errors
**NOTE** this section is for local associations and state associations that are POE for any local associations.
Here are the steps you should follow to resolve member record errors. You can follow the same steps to resolve office record errors.
To view all records (errors and records that processed), click the All radio button option. You can range search to find a specific member or office.
Send the Record Back to NRDS
Once you have resolved the error, you can send the record back to NRDS immediately by clicking the Push to CDB button. You can also wait for the next batch process to run, which occurs every ten minutes and will automatically send the record back to NRDS.
Monitor Daily
If you monitor your CDB Query forms (both Member and Office) and repair records that cause errors, your data transfers will have fewer errors in the future.
