Monitoring the CDB Member and Office Query forms in Magic
The NAR Central Database (CDB) communicates with your database in Magic to keep your membership records in sync. Whenever you create a new member or make changes to an existing member, that information is pushed to NAR to update their database in real time or as scheduled in your Magic system.

To access the Member CDB Query Form, type Alt > m > d > c > m. You can also get to the Office CDB Query Form by typing Alt > m > d > c > o. In either case, the form will initially be presented in an “Errors Only” view. In the “Errors Only” view, the form displays only those records which have errors that are preventing them from updating member information in the NAR CDB. If you click on the “All” radio button, the form will display your entire membership.

Following are instructions to help you clear any errors found in your Member CDB Query Form so that your membership information is up to date in Magic and at NAR.

This is the “Errors Only” view in your Member CDB Query Form. At first glance, we can see that there are two records in Error status. In this example, there is no message shown in the “Error from Sync Attempt” field. You will have to do some detective work to determine the problem and get the record pushed to the CDB.  Once the errors are identified and corrected, you can push the record to CDB from the Member CDB Query Form.

There are a few common issues that will cause a record to go into error status.

  1. There is a problem with the Member record.

Click the Member Info button on the Member CDB Query Form to open the Member Information Form. Make sure that the member is active in your association and that all information that is required by NAR is completed.

  1. There is a problem with the member’s Office record.

Click the Office Info button on the Member CDB Query Form to open the Office Information Form. Make sure that the office is active in your association and that all information that is required by NAR is completed.

  1. There is a problem with the Responsible Member’s record.

From the Office record, click on the Responsible Member field and zoom (F5) to open the Member Query Form. Zoom again to open the record.
Make sure that the Responsible Member is active in your association and that all information that is required by NAR is completed.  This record is in “error” status because the Responsible Member for the Office is inactive.

  1. There is a problem with the Change Type which is used.

If you are transferring a member from another association, you should use the Change Type “T” to transfer the member to your association as Primary. Click on the Association Detail form for your association and use F5 to zoom into the form. Set the Change Type to “T” for transfer. You can now push the record to the CDB.

  1. You are entering a new member who belongs to an office which is also new to your association and to NAR CDB.

In the case when you are entering a member who does not exist at NAR and also an office which does not exist at NAR, there are certain steps you should take to get the records to push to CDB. If you don’t take those steps, you will see your member or office record with an error such as “Office or Member does not exist in CDB”.

First, go to the Office CDB Query Form and locate the new office.

Click the Office Info button and locate the Responsible Member field. Zoom into the Responsible Member field and select any staff member with an active NRDS number. Escape to save and push the office record to CDB as an Add change type.

Next, navigate to the Member CDB Query Form and locate the new member.

Click the Member Info button and locate the Office # field. Zoom into the Office Record field and select your new office. Escape to save and push the Member record to CDB as an Add change type.
Go back to the Office CDB Query Form and locate your new office.

Click the Office Info button to open the office record. Locate the Responsible Member field and zoom to select your new member. Escape to save the record then push the office to CDB.

Your new member and office will be created at NAR CDB.

  1. You have not selected the correct Bill Type for your member or the correct Office Type for your office.

From the Member CDB Query Form, zoom into the Association Detail for your association and locate the Billing Type field. Zoom into the Billing Type field and make sure you have selected the correct type and that your Billing Type is set to CDB = Y.

From the Office CDB Query Form, zoom into the Association Detail for your association and locate the Office Type field. Zoom into the Office Type field and make sure you have selected the correct type and that your Office Type is set to CDB = Y.
