How
do I run a report that will compare my membership data to the data
at NRDS? |
As many of you know, NAR plans to run all membership counts, by local association, directly from the NRDS system on April 1, 2007. These will be the counts used to assess any delinquencies.
With this in mind, now would be a great time to run the NRDS Verification Report to compare your data to the data on NRDS. After running the report, it is important to research any members or offices that are inactive in your database but active in NRDS. This will help you avoid getting charged for members or offices from whom you have never collected dues.
Below are step-by-step instructions for Magic 7 and 8 users, for both local and state boards.
Step 1: Request the file from NRDS. NRDS will e-mail the file to the key office contact that NRDS has on file.
- Go to the NRDS site (www.realtor.org) and log on.
- Click on the “NRDS” link and then on “POE connect to NRDS.”
- Log on using your association NRDS Login and password.
- Click on “Batch Refresh.” Do NOT use Batch Download.
- Select the following criteria:
- Select File Type: Fixed Length
- Select Refresh Format: E-Mail the File
- Click on “Refresh Now.”
Note: NRDS will e-mail the refresh data as an attachment to your Local AOR staff e-mail address that is on file with them.
Magic 7 Users and State Associations ONLY: (Note: If you are a Magic 8 or 9 user skip to Step 3.)
Step 2: Unzip the file from NRDS. Once you have received the ZIP file from NRDS, you need to unzip the file.
- Delete all files except the files ending in .m00 and .o00.
- Rename the two files with your NRDS ID followed by yesterday’s date. For example – 4850FULL.m00 would become 48500215.m00.
- Zip the two files together and name the ZIP file using your NRDS ID followed by yesterday’s date and end in .z00. For example – 48500215.z00.
Both Magic 7 and 8 Users:
Step 3: Save the new file. Rapattoni Magic 7 and 8 users must save the ZIP file to your r:\rap\NAR\NRDSIN\ARCHIVE folder. (Change r:\ to your Rapattoni drive letter, as appropriate.)
Local Associations:


- Click on the Utilities tab then select the NRDS Verification button. Your window will look like this:

- Fill in the following data:
- Sender: NRDSIN (Create if absent.)
- Association: Select whichever is appropriate.
- NRDS vs. Assn: Check Active Only
- Assn vs. NRDS: Check Active Only
- Compare: Check Office, Member and Check Member License
- Directory Path: r:\rap\transfer\ (Change r:\ to your appropriate mapped Rapattoni drive letter and make sure to include the final backslash after transfer.)
- File Name: Magic 8 or 9 users will use the file name that was e-mailed to them by NRDS, such as 4850FULL.ZIP. Magic 7 users will use the file name of the re-zipped file, such as 48500215.z00.
- Click on Create Report.
NOTE: This report shows you inconsistencies between your data and the data at NRDS.
This report compares the data in four ways, as follows:
NRDS vs. Association (Members)
The data on the left side is from the NRDS file and it’s comparing what you have in your database. This is showing you what NRDS has on file, and in what ways it does not match what you have in your database.
NRDS vs. Association (Offices)
The data on the left side is from the NRDS file and it’s comparing what you have in your database. This is showing you what NRDS has on file, and in what ways it does not match what you have in your database.
Association vs. NRDS (Members)
The data on the left side is from your database and it’s comparing what is on file at NRDS. In some instances, this report may be larger due to the fact that you may have numerous member types that you do not report to NRDS. This is normal.
Association vs. NRDS (Offices)
The data on the left side is from your database and it’s comparing what is on file at NRDS. In some instances, this report may be larger due to the fact that you may have numerous office types that you do not report to NRDS. This is normal.
